Opening Pain Frame

Say
"Quick question before we dive in — when your clients ask about their AR aging or 90-day cash forecast, how are you pulling that together right now?"

Let them answer. Common responses: spreadsheets, QBO reports, nothing systematic. Then:

Say
"What we hear from most small practices is that the data exists somewhere — QBO, their PM system, paper logs — but nobody's connecting it into a single picture. No one's flagging the $40k sitting in 90+ day Medicare claims, or warning that payroll hits before the next insurance batch clears. That's the gap Med Profit IQ closes."

Goal: Surface the pain and establish credibility before showing anything.

Min 2–4

AR Aging Demo

Action
Navigate to /ar-demo. Have the sample CSV ready (downloaded from this page). Use "Upload CSV" — paste or drag the ar-sample.csv file.
Say
"I'm going to drop in a sample claims file — 20 claims across Medicare, BCBS, Aetna, and self-pay. This is the kind of export any PM system can produce."

Once uploaded, the dashboard auto-buckets claims by aging: 0–30, 31–60, 61–90, 90+ days. Point out:

  • Total AR balance and % over 90 days
  • Carrier breakdown — which payer is slowest
  • Oldest claims listed at the bottom — the ones most at risk of denial
Say
"For a real practice, this same view would update automatically. They log in on Monday morning, see exactly where their money is, and know which claims to chase that week."

CSV upload instructions for the prospect:

  1. 1Export claims from their PM system (any format with claim_id, carrier, balance, service_date)
  2. 2Go to /ar-demo → click "Upload CSV"
  3. 3Map columns if headers differ from defaults — the tool auto-detects common field names
  4. 4Click Analyze — results render instantly, no login required
Min 4–6

Cash Flow Monitor

Action
In the dashboard demo (or describe verbally if screen share is AR-only): navigate to Cash Flow or describe the cash flow section.
Say
"The cash flow monitor does two things most practice owners can't do today: it shows the last 90 days of actual cash movement, and it projects the next 90 days based on their AR pipeline, recurring expenses, and payer lag times."

Key points to hit:

  • 90-day forecast auto-built from QBO data or imported transactions
  • Payroll gap alerts — flags weeks where projected inflows don't cover scheduled payroll
  • Payer lag modeling — Medicare typically pays in 14–21 days; BCBS 21–30; the system accounts for that
  • What-if analysis — "what if I delay this equipment purchase 30 days?"
Say
"For a solo physician or small group, this replaces the $3,000/month fractional CFO conversation. They get the same insight, on demand, for a fraction of the cost."
Min 6–8

KPI Dashboard + Payroll Benchmarking

Say
"The KPI dashboard tracks the six metrics every practice owner should watch monthly — and benchmarks them against same-specialty, same-size practices."

Walk through the six KPIs:

  • Net Collection Rate — target 95–98% for in-network; flags anything below 92%
  • Days in AR — target under 30; industry average is 42; over 50 is a red flag
  • Denial Rate — target under 5%; identifies top denial reason codes
  • Overhead % — benchmarked by specialty (family med 55–65%, surgical 40–50%)
  • Revenue per Provider RVU — production efficiency metric
  • Payroll-to-Revenue Ratio — the #1 controllable cost driver in small practices
Say
"The benchmarking piece is what clients find most surprising. Most don't know if their 58% overhead is great or a problem until they see it next to the specialty median. That's the insight that drives real decisions."
Min 8–9

Tax Estimate + Compliance Alerts

Say
"Two things that cause the most surprises at year end: the quarterly tax estimate was wrong, and someone missed a compliance deadline. We handle both."
  • Quarterly estimated tax — calculates Q1–Q4 obligations from net income; sends reminder 2 weeks before IRS due dates
  • Entity optimization alerts — flags when S-Corp election or solo 401(k) contribution could save $10k+
  • Compliance calendar — tracks 1099 filing, W-2 deadlines, state registration renewals
  • Audit trail — HIPAA-compliant log of all data access and exports
Say
"For a CPA, this becomes your early-warning system. Your clients get alerts before things become problems — and you get credit for catching it."
Min 9–11

Partnership Pitch

Say
"Here's why I'm showing you this specifically. We have a referral program for RCM consultants and CPAs that's generating meaningful recurring income for partners. The structure is simple."
  • 10% recurring commission on every client you refer, for as long as they're subscribed
  • Plans are $299–$599/month — so each referral generates $30–$60/month, every month
  • Average retention is 18+ months — a single client referral pays $540–$1,080+ over their lifetime
  • No sales role required — you introduce the tool, we handle onboarding, support, and billing
  • Branded co-marketing optional — we can white-label the outreach under your firm name
Say
"If you have 10 clients who could benefit from this — which, in your book, is probably most of them — that's a potential $300–$600/month in passive income from a 10-minute conversation per client."

Pause. Let them do the math.

Say
"We pay out monthly via ACH. No minimums, no caps. You refer, they subscribe, you earn."
Min 11–13

Objection Handling

Objection Root Concern Response
"Is this HIPAA compliant?" Data security and liability exposure for PHI All data is AES-256-GCM encrypted at rest and in transit. Every access is logged in an immutable audit trail. We operate under a signed BAA. The AR demo at /ar-demo runs entirely in the browser — nothing is stored server-side unless the user creates an account.
"Won't this replace what I do as their advisor?" Fear of disintermediation; protecting client relationship The opposite. This surfaces the data faster so you can spend your time on strategy, not pulling reports. Partners consistently find their clients value their advisory services more once they have real-time visibility — because the conversations move from "what happened?" to "what should we do about it?"
"They already have QuickBooks / Sage Intacct — why add another tool?" Tool fatigue; skepticism about integrations working QBO and Sage are great at recording transactions. They don't alert you when AR aging crosses a threshold, or model your cash runway, or benchmark your overhead against specialty peers. Med Profit IQ connects to QBO via OAuth in about 90 seconds — it reads the data and layers the intelligence on top. It's not a replacement; it's the layer that makes the data actionable.

Close + Next Steps

Say
"Based on what you've seen, I want to ask two questions. First: do you have 2–3 clients who are struggling with any of what we covered — AR visibility, cash forecasting, or surprise tax bills? Second: would you be comfortable sending them a link to the AR demo this week, just to get their reaction?"

If yes to both:

Say
"Perfect. I'll send you your partner link today — it's just a URL you append to medprofitiq.com/free-trial. When a client signs up through your link, you're automatically credited for the referral. There's no paperwork, no minimum commitment."

If hesitant:

Say
"Totally fair. Best next step is to try it yourself on one of your client's data sets — the AR demo is completely free and takes 2 minutes. If it doesn't deliver an insight worth talking about, we haven't wasted each other's time."

Always end with a concrete action:

  1. 1Send them the /ar-demo link for self-service exploration
  2. 2Offer a 7-day free trial link — they can start at /free-trial, no credit card required for the first 7 days
  3. 3Follow up in 48 hours — ask what claim bucket surprised them most
